Price Isn't Cost: A Purchasing Admin's View of Elevator Repair, Steel Services, and Chipped Paint

I've managed purchasing and facilities for a 220-person engineering and fabrication company since 2021. It's not glamorous, but it touches everything: office supplies, steel components, maintenance parts, service contracts, and the occasional elevator that decides to stop between floors. Over that time, I've processed more than 800 purchase orders and watched the same pattern repeat. The lowest bid usually isn't the lowest cost.

My opinion is direct: buying on price alone is a risk transfer, not a saving. It transfers hidden risk from the vendor to your maintenance team and then to your budget. That sounds like a cliché, but I have the receipts to prove it. Three examples from the last 18 months changed how I buy: a check valve, a thyssenkrupp elevator repair call, and a chipped paint problem that was never just about paint.

The vendors that looked expensive at first now look cheap because they didn't create second invoices.

Is Cheaper Ever Better?

I'm not saying every low quote is a trap. I regularly buy from lower-cost vendors when the product is standard and the risk of failure is low. But before I accept the lower quote, I now ask four questions:

  • What standard is this part or material built to?
  • What happens if it fails in 90 days? Who owns that cost?
  • Does the vendor have service records, certifications, and technical backup?
  • Am I saving money, or am I deferring the cost to the next maintenance event?

If I could go back to 2021, I wouldn't tell myself to avoid cheaper options. I'd tell myself to count the cost of being wrong. A check valve that slams, a thyssenkrupp elevator that stops, and a steel bracket that rusts all have one thing in common: they look fine in a quote and show their true price later.

So my view still holds. Price is what an invoice says. Total cost is what the maintenance log and the check register say. When a supplier promises a 30 percent savings with no explanation of hidden risk, that's not procurement. That's gambling. The responsible choice is to buy value, not just a number on a quote.
